Cancellation & Refund Policy

Effective Date: 01 April 2025 


At Bennett & Sterling, we understand that travel plans may need to change. Our cancellation and refund policy is designed to be transparent and fair, while also allowing us to honour commitments with our trusted partners including hotels, guides, wellness centres, and local service providers.


1. Cancellation Terms


Cancellations must be requested in writing via email to booking@bennettsterling.com. The cancellation fees are based on the number of days prior to the scheduled departure date:


Days Prior to Departure Date                                Cancellation Fee (Per Person)

91 days or more                                                       $1,000 per person (administrative fee) 

90 to 46 days                                                           50% of total Travel Arrangements price 

45 to 0 days                                                              100% of total Travel Arrangements price 


Note: “Travel Arrangements price” includes all confirmed services such as accommodation, transport, tours, and other inclusions as outlined in your itinerary or booking confirmation.
 

2. Refund Processing


  • If eligible, refunds will be processed to the original payment method within 7–14 business days of confirmation.
     
  • Refunds may take longer for international transactions due to banking and currency conversion delays.
     
  • Payment gateway processing fees are non-refundable.
     

3. Non-Refundable Components


The following components are typically non-refundable, regardless of notice period:


  • Flights, train tickets, or other third-party transport booked by us
     
  • Visa, permit, or insurance fees
     
  • Deposits for exclusive-use accommodations, wellness retreats, or special events
     
  • Services marked “non-refundable” at the time of booking
     

4. Force Majeure


No refunds or liability will be provided for cancellations due to events outside our control, including but not limited to:


  • Natural disasters
     
  • Epidemics or pandemics
     
  • Government travel bans or restrictions
     
  • Political unrest or civil emergencies
     
  • Airline or transport strikes
     

In such cases, we will make every effort to reschedule, offer travel credit, or negotiate partial refunds, depending on our partners' policies.


5. Cancellation by Bennett & Sterling


If we are forced to cancel your trip due to unforeseen circumstances (e.g. minimum group size not met, safety risks, or logistical issues), we will provide:


  • A full refund, or
     
  • An alternative travel date, or
     
  • A credit voucher for future use (valid for 12 months)
     

6. No-Show & Partial Use


  • No refunds will be issued for no-shows or partial use of services.
     
  • Missing a scheduled departure, tour, or service due to personal delays is considered a no-show.
